The Company:
Our Client is a world leading Automotive OEM which is responsible for some of the most iconic 4x4's & Sports Cars produced. Due to the huge demand for current models and substantial investment in future projects there is a requirement for more resources across the business in engineering & manufacturing on a contract basis.

The Role:
- Provide general administrational support to the team, and be the 'central support contact' for all of the markets involved with the show programme.
- Setting regular meetings for department, which often includes large groups with senior executive attendance.
- Coordination of internal departmental administration (ie keeping processes up to date, sorting department post, monitoring vehicle fleets, etc.)
- Make regular updates to the Global Exhibitions site to ensure markets are fully informed on current content and look and feel.
- Prompt local markets to raise vehicle orders and help to track these vehicles to delivery on show stand in good time.
- Liaise with Service Department and Vehicle Operations on all aspects of vehicle preparation.
- Liaise with Product Marketing functions and raise ATOs for all pre-production vehicles
- Management of the budget records, including running fortnightly meeting with team to update them on budget situation.
- Generation of purchase orders, including production of back-up paperwork, processing through sign-off procedure, with Finance department and Purchasing.
- Working with accounts payable to ensure supplier invoices are paid to correct level and are signed off by appropriate management.

Essential Skills / Qualifications:
- General support is required to ensure clear communications between the local markets, central office and stand design agency. This will be working alongside Exhibition Manager on whatever actions need to be taken to ensure show delivery, and can be very varied from day to day.

- Coordination of travel requirements for core department plus extended team.
- Searching for suitable flights & accommodation depending on location of show.
- Generation of travel requisition form and progressing through company sign off procedure.
- Booking of flights with AMEX and ensuring travellers are aware of all details.
- This role is very much the engine room of the Exhibitions Department, you would need to be an excellent communicator who is able to deal with people of many different levels and nationalities and remain calm under extreme pressure at times.
- Good computer literacy essential, with a working a knowledge of all MS Office programmes.

Desirable Skills / Qualifications:
- The role encompasses a certain amount of management of Design Agency and Contractors to deliver a schedule of exhibitions in all major markets, offer advice to smaller markets to ensure consistent quality of presence at non-supported shows and manage the upkeep and usage of exhibition materials in line with global communication strategy
