The Company:
A major EPCM Client within the Mining and Minerals industry in WA.

The Role:
Reporting To: Services Superintendent
Subordinate Positions Nil

The Senior Contract Administrator’s role is to provide support to administer all contracts on the Project site.

Specific Responsibilities
Administering the Contracts in their area of the project with respect to:-

 Ensuring compliance with the terms and conditions of Contract;
 Interface with Area Superintendents for all contractual matters and support services;
 Monitor contractor for compliance with all contract deliverables;
 Managing change and recording and obtaining authorisation in accordance with Project Change Management Procedures.
 Implementation of all aspects of the HSEC Procedures including inspections/audits of the contractors’ areas, Hazard Card reporting, accident/incident investigations reporting, issue of work permits, job hazard analysis, behavioural based observations, conducting additional safety meetings and weekly workplace Inspections as and when required etc.
 JHA and Take 5 Auditing for Quality, task specific and compliance.
 Ensure that relevant contractors and personnel comply with the applicable requirements of the HSEC Procedures.
 Ensure compliance with the Mines Safety & Inspection Act 1994 by all personnel on site
 Carry out instructions or directions given by the Registered Mine Manager to ensure compliance with the Mines Safety & Inspection Act 1994
 Actively participate in and support Incident and Injury Free culture (IIF)
 Support and participate in Behaviour Based Coaching on the Project site
 Assist the Area Project Engineer to direct and control the work of contractors to ensure contract and project objectives are achieved or exceeded.
 Inspect the work under each contract daily and advise the contractor of any corrective actions needed as they occur.
 Ensure contractors are working to the latest revisions of the Drawings and Specifications.
 Ensure site entry requirements for plant, equipment and people are complied with.
 Identify and obtain approvals for additional work outside the original contract/project scope of work prior to implementation.
 Assist maintaining documentation relating to work within the contract.
 Conform to the requirements included in the Project Procedures Manual for communication with contractors and site administration issues.
 Assist with maintaining detailed records of contractor’s progress against schedule and review with the Area Superintendent measures necessary to ensure compliance with the project implementation schedule.
 Ensure that all Quality requirements are being adhered to. Actively participate in quality inspections and sign off on Hold Points, Witness Points etc. where required.
 Report daily on progress, material deliveries, number and type of contractor’s men and equipment, design errors and shortages encountered and difficulties experienced. Reports on progress must include for deficiencies in the Contractors management of his work where it had a direct impact on progress. Assist in ensuring that the contractor is carrying out work which will enable the contractor’s schedule and milestone deliveries to be accomplished.
 Assist in compiling the Area Superintendent weekly report on the progress of each work area.
 Attend the daily pre-starts and weekly meetings with contractors.
 Assist in co-ordinating with Operations to facilitate minimum interruption to railings whilst maximising the opportunity to carry out Works.
 Assist Contractors in the preparation and approval process for Permits required to do the Works
 Assist in the formal inspections and ‘punch lists’ to be prepared during the period leading to completion of individual contracts.
 Coordinate with construction personnel, contractors, statutory authorities, client etc. to arrange operational shutdowns, relocations or tie-ins to existing plant and services.
 Regularly review the current delivery dates of all equipment and report immediately where dates are unsuitable for site progress or deliveries are falling behind schedule.
 Continually review construction drawings for adequacy, completeness, interfaces etc. Report any deficiencies or shortcomings to the Area Superintendent
 In conjunction with the Area Superintendent maintain good relations with statutory authorities, local companies adjacent to the site and client representatives.
 Assist in the preparation of enquiries for additional work, in particular the technical specification.
 Where works are carried out at hourly rates, assist in ensuring that extra claim sheets are correct in accordance with procedures and approved on a daily basis.
 Assist to arrange, if directed, that all survey checks are carried out as required.
 Coordinate vendor inspections of contractor’s work.
 Assist in commissioning duties as and when required.
 Assist in supervision of any extra works by contractors and preparation documentation verifying completion of the work and counter sign contractor’s hourly works time sheets.

Essential Skills / Qualifications:
Tertiary qualifications in law, commerce or engineering & previous experience on EPCM Projects

Desirable Skills / Qualifications:
Experience in the management of Contracts and Contractors.
