The Role:
To be in charge of the administration – in direct liaison with the concerned Project Engineer or Package Manager - of two main contracts (each 20 ~ 50 mEUR) :
- Site Preparation Contract
- EPSCC for Flowlines & Pipelines

The position may require handling additional contracts during the development of the Project,, (i.e. a variety of small service contracts Civil Works and/or other related Services contracts)

Accordingly, the Senior Contract Administrator shall also be able to handle in duet with Project Engineers call for tenders processes from prequalification to contract awards.

- Will be evaluated on his/her capacity to apply Project Procedures in particular and to perform his/her tasks in strict accordance with client and local legal constraints. Shall be responsible to report and record all necessary deviations (single source,...) for future audits.
- As service provider to the Project, ensure that communication and internal coordination between the Project members is effective with respect to contractual issues; supportive role for other Project members in relation with contractual issues (i.e. participating in drafting scope of works or/and other technical contract documents as and when required).
- Strictly adhere to client's code of conduct, with a highly cost effective pro-active thinking .
- Ensure that client duties as per the Contracts are properly fulfilled (timely notifications, payments,...) and that Contractor's default is properly and timely recorded.
- Shall be responsible to work following the Project priorities and objectives (with the support of Contracts Manager) in order to ensure that contracts administration tasks do not hamper the progress/schedule of the Project.


The service will include and shall not be limited to:
- Liaising continuously with the Package team and notably the Project Engineer in charge; work under the guidance and instructions of the Package Manager under the supervision and with the support of the Project Contracts Manager.
- Reviewing Contractors correspondence with respect to contractual impact. Prepare recommended responses.
- Initiate, draft and/or review correspondence to Contractors;
- Reviewing & analyzing various claims, requests for changes and variations to the contract; providing effective and efficient advice to the Project team about their validity;
- Producing Change Orders and Amendments to the contracts, reviewing and/or draft the Change Order Instructions from client;
- Maintaining various logs of claims, change orders requests and identified variations;
- To dentify and mitigate the risk of claim and change orders;
- Proposing contractual solutions (incentive/penalties schemes, payment schemes, negotiations,...) to improve the contractual performance of the Contractors;
- Participating in meetings and be responsible for the minutes: Progress meetings with Contractors, internal coordination meetings, change orders meetings,... ;
- In case of lawsuit or arbitration, preparing backup documentation and support, in liaison with legal, insurance and finance personnel by proposing strategies and actions further to negotiations;
- Performing reporting tasks: Project Contracts Status Report daily update, Project Weekly & Monthly reports input for contracts, ad-hoc reporting at Management request;
- Performing contracts close-out

Complimentary tasks will include:
- Perform call for tenders and further administration of new contracts, all in accordance with client’s policies and procedures, ;
- Bring support to other departments during corporate or partners audits: provide contract documentation, draft answers to auditors questions, participate to audit meetings

Essential Skills / Qualifications:
- Graduated in Engineering and/or tangible significant relevant experience in the role
- Significant Contracts Administration experience including claims & variations management is mandatory.
- The knowledge and practice (as civil or project engineer, surveyor, etc...) of Italian Public Contracts and Italian Construction Code would be highly valuated. Some Pipelines Installation or Site Preparation contracts experience would be highly valuated.
- Shall be familiar with the philosophy of lump sum, reimbursable, target price types of contracts.
- Rigorous / organized / excellent written and oral communication skills
- Together with a pro-active attitude the contractor must be able to work in a multicultural environment
- Fluent in English and Italian (speaking and writing).
- Capable of independently negotiating complex contractual issues / able to influence and persuade
