Job Title: Senior Document Controller
Job Location: Perth
Rate/Salary: Negotiable

The Role:
1. Issue documentation and correspondence utilising the appropriate systems and processes.
2. Control the registration, filing, review, approval, distribution and transmission of documents and provide associated regular progress and performance reporting. Expedite as required to eliminate delays.
3. Assure the quality of controlled documentation, including correct: numbering, revisioning, status, metadata, format, title, legibility, review and approval.
4. Develop and maintain document control process documentation and work instructions and ensure that these are accessible to and understood by the project team.
5. Maintain comprehensive electronic and paper filing systems. Coordinate system setup and administration including metadata, access control and distribution matrices.
6. Review contractor document control procedures and incorporate project specific requirements. Direct and monitor the operation of contractor document control processes. Document findings and make agreed recommendations for improvement.
7. Deliver training in document management system and procedures for project team members.
8. Act as a Local User Expert for the Sharepoint collaboration team site.
9. Coordinate bulk handovers of documentation between project phases and from contractor to company systems.
10. Manage archiving of documentation in accordance with the retention schedule.
11. Provide timely ad-hoc assistance to locate and retrieve project documents.

Essential Skills / Qualifications:
Certificate or Diploma in information management subject(s).
Degree background favourable e.g. science, commerce.
5+ years experience in document control positions leading to senior in Major Capital Projects within oil & gas or resource industries

Desirable Skills / Qualifications:
System Expertise: Electronic document control & management systems. Documentum and Sharepoint experience highly desirable.In-depth knowledge of document control requirements, processes and systems. Understanding of engineering design and review processes, information types and relationship between external contractors and owner organisation and teams. Planning and management of workload and document flow/capture in company systems.Strong attention to detail and persistence as is typically required by document control roles. Specific emphasis on interpersonal skills and outgoing style since this position will be the primary document control contact for the project team. The successful incumbent will deliver document control training to the project team and provide 1-1 assistance to engineers and technical personnel to encourage adoption of correct processes and expedite results. A polished “self-starter” with initiative is required!
