Our Client is an International Oil and Gas Operator involved in 2 of Australia's largest LNG Projects based in Western Australia. The Role:
A new opportunity has arisen for a Senior Document Controller for a 12 month contract based in Perth.

The role will actively contribute to the provision of an efficient, cost effective and proactive Facilities Engineering document control support service to Operational Assets and Projects.

Responsibilities of the position include but are not limited to:
• Work directly with Operations and Brownfield Project teams to support day to day IM requirements and longer term objectives
• Ensure integrity and completeness of critical engineering documents and drawings within the DMS master repository
• Manage technical Engineering hardcopy collections (inc. Field and department satellite locations)
• Perform an Engineering IM ‘Gate Keeper’ role, ensuring all Engineering Documentation is:
o Formatted, numbered, revision controlled and managed in accordance with the relevant company standards and conventions
o Received, processed, distributed and tracked in accordance with Document Control procedures, approved distribution matrices and agreed timescales

• Facilitate controlled issue of critical/key engineering documents / drawings
• Perform Facilities Engineering archive and retention requirements
• Identify and highlight any areas of concern regarding Facilities Engineering documentation, for example: material overdue for review
• Maintain Document Registers, develop, generate and distribute business reports as required, typical examples;
o Outstanding Document review and approvals
o Red line mark-ups that require as-building
o Outstanding Project deliverables

• Foster close relationships with the IM and Facilities Engineering teams to ease the information transition
• Accommodate reprographic requirements (inc. scanning, copying, binding)
• Develop organisational capability amongst team members
• Support search and retrieval of accurate Engineering Information

Interface with the External Engineering Contractors and Service Providers Document Control focal points to;
• Ensure Contactors are aware of, and are working in accordance with, company external contractor guidelines
• Manage and track the throughput of all formal engineering deliverables from external contractor to internal departments/teams
• Attend regular Document Control progress meetings
• Expedite timely handover of deliverables (inc. final as-built documents, drawings and completed workpacks)
• QA/QC and completeness of deliverables
• Mitigate issues and escalate problems

Provide Document Control resource to support
• Priority business activities and operational backlogs (inc. Data registration, classification, clean-up, rationalisation)
• ‘Bedding-in’ of new processes and technologies (inc. coaching)
• IM initiatives and projects
• Engineering change IM activities / Major Capital Project IM functions
• Priority business activities and operational backlogs (inc. Data registration, classification, remediation, clean-up, rationalisation)
• Assist optimisation of Document Control Tool usage & work processes
• Distribution, circulation and tracking
• Work with the Information Management team to develop and establish and continuously improve document control processes
• Development and maintenance of Engineering Document Control work instructions
• Completion of information requests and searches company Information Management Team and Functional Support Responsibilities

• Provide inductions, communication/awareness sessions, coaching, training and support for new starters and as refreshers for existing staff as required
• Foster and support Facilities Engineering Document Control best practice within the company, and develop personnel knowledge of, and commitment to, key behaviours required for successful IM
• Provide IM Document Control governance, guidance and support:
• Provide Facilities Engineering Document Control best practice advice to company ‘Customers’
• Support to company ‘Customer’ Document Control issue resolution - communicate and promote awareness of processes and standards where required
• Completion of information requests and searches
• Efficient handling and timely close-out of “Customer” support calls
• Compliance monitoring & QA/QC activities to support information integrity - Housekeeping, business reporting, monitoring
• Identification and execution of continual improvement measures

Essential Skills / Qualifications:
Degree in an Information Science or Engineering related discipline preferred
Minimum 3-10 years Document Control experience (primarily within the Oil and Gas Engineering / Production environment including Major Capital Projects, Operations)

Desirable Skills / Qualifications:
• Proven ability to develop both strategic plans and deliver solutions, inc. development and implementation of IM business controls, processes and tools to Operations and Major Capital Project teams
• Experience of working with External Service Providers, Vendors and Contractors
• Wide experience of DMS, Records Management, Document Control and Collaboration solutions Experience with, CAD/drafting, viewing and mark-up software and standards
• Understanding of the Operations Engineering Change/Plant process
• Ability to read/interpret technical engineering information an advantage
• Exposure to GIS packages and the ESRI suite desirable
• Good Project Management, IT, communication and negotiation skills
• Methodical and practical approach to issue prevention and problem solving
• Strong customer focus
• Ability to work under pressure
• Demonstrated experience in the provision of change management, training, coaching and support services
• Capacity to learn new skill
