The Role:
Job Purpose:

Manage all scheduling activities associated with Company's purchases, sales, and waterborne transportation movements in order to ensure the right products, in the right amounts arrive at end customers safely and on time

The Senior Operations Manager is also the key role to ensure that tank-tops resulting in shut-ins are avoided

Within the generic job family of “Operations Manager”, a Senior Operations Manager will have relatively more experience and is expected to work at a higher level with less direction. They will be able to propose and implement improvement initiatives and will also coach and develop new staff and staff under development [both SUD’s and staff with IDP].

Principal Accountabilities:

1. Loading/Discharge Schedule - Manage ship loading/discharge schedules through liaison with marketers, ship Operations Managers, buyers, suppliers and terminal Sales Operations Managers ensuring minimised scheduling clashes and maximised cost efficiencies. Capture schedule and actual data in SAP in order to maintain a database to be used for future reference, and for auditing and archiving purposes

2. Interfacing Activities -Act as the key interface between customers, suppliers, terminals and ship regarding sales, purchase, and shipping nominations, voyage orders, and any necessary updates in order to ensure all involved parties are aligned, including meetings as appropriate

3.Forecasting - Develop supply and demand balances incorporating lifting schedules, other purchase commitments, sales commitments, and transportation commitments including identifying spot purchase, sales, and shipping requirements for use in forecasting and projecting. Liaise with Finance and Planning to ensure that forecasts, accruals, and actuals are accurately reflected in company records

4. Sales and Delivery - Manage delivered sales obligations by matching transportation commitments to specific delivered sales, ensuring that said sales are performed in accordance with the contract and customer expectations. Develop shipping balances to ensure that all delivered sales commitments have an identified vessel and communicate any spot transportation requirements to the Chartering manager
Manage delivery and redelivery of time chartered ships in order to achieve maximum cost and time efficiencies. Ensure that loadings (or discharges for DES sales) only occur when approved Financial Security is in place, otherwise Company may not get paid.

5. Shipping Documentation
- Ensure appropriate documentation is filed in order to meet with company policy governing voyage files
- Coordinate appointment of and handle invoicing from inspectors and port agents as required by company policy governing ship inspections
- Provide Documentation Instructions to the loading terminal ensuring that all shipping documentation meets with company, local and international regulations
- Ensure potential shipping, customer, and supplier related claims are filed in a timely manner and in accordance with the terms and conditions of the contract

6. Tonnage Analysis - Identify and communicate anticipated tonnage shortages or dis-utilization in order to maximize vessel utilization

7. Ship Tracking - Track ships and provide daily ETA’s to each third party customer in that they are informed ahead of time when to expect their shipments

8. Ship Vetting - Verify ships and owners have been properly vetted and approved, including by suppliers/receivers, prior to scheduling ship in order to meet with regulatory requirements

9. Root Cause Analysis - Identify idle/demurrage time and provide a “root cause” and assist the Claims Analyst in developing/evaluating demurrage claims

10.Operational Interface Procedures - Manage operational interface procedures for ship owners, Sales Operations Managers and loading / discharge port authorities in order to rapidly address and resolve any existing or potential problems

Essential Skills / Qualifications:
Knowledge , Skills and Experience

Undergraduate degree in any relevant discipline

Strong written and verbal communication skills in the English language

Strong analytical and problem solving skills

Strong computer skills including knowledge of SAP, Excel and Word

Minimum 10 years relevant experience dealing with ship and/or marketing/terminal operations in either oil & gas or dry bulk [nb Sulphur],

Ability to effectively manage external relationships

Ability to adapt to time pressures and changing priorities

Working knowledge of standard industry charter party forms

Working knowledge of International vessel and port safety requirements

Must be a good team player
