The Company:
Our Client is one of the world's largest Oil and Gas companies. Their operations cover the entire energy chain, including oil exploration and production to trading, shipping and refining and marketing of petroleum products, as well as chemicals. The Role:
The job holder is responsible for maintaining the department specialist software, ensuring that they are operational, delivering complex reports based on system data and leading any troubleshooting of operational issues and providing solutions to these issues. The job holder will be responsible for managing system upgrades and amendments as requested locally and/or by Head Office whilst maintaining the corporate memory/audit trail and ensuring the protection of sensitive data. The job holder will facilitate user training and internal user groups and management committees. The job holder will be an active member of external bodies related to the specialist software

MAIN ACTIVITIES:

Super user of all specialist software packages utilised by Safety Operations including STRE@M Synergi, STRE@M Prevent, AgileKM, ISSOW, 4SIGHT database and NEMS. Activities include:

• Provides guidance and advice on the effective use and future development of the software
• Proactively investigates and liaises with the appropriate SE personnel to troubleshoot any issues and identify solutions
• Responsible for project management of system improvements:
o Consultation with user groups
o Scoping of changes
o Interface focal point for third party vendors
o Script amendment tests
o Change testing, verification and approval
o Update of training materials
o Roll-out of changes
• Ensures data is maintained in accordance with regulatory and Company Rule requirements.
• Prepares training and roll-out materials. Works with vendors and IS on e-learning packages
• Maintains L2 workflows and documentation relevant to this job role.
• Builds complex reports from the system as/when required and analyses and manipulates the data to support budget and benchmarking processes.
• Participate in the appropriate external Industry User Groups (e.g. Synergi, ISSOW), liaising closely with counterparts at other operators.
• Shares knowledge & best practice with HQ
• Develop and maintain collaborative relationships with internal, external and TOTAL Group contacts.

STRE@M Synergi specific activities

• Deputise for Safety Advisor - Methods as primary point of contact for head office on Stre@m Synergi with a view to becoming the primary point of contact
• Support Safety Advisor - Methods with profile setting and database field management with a view to take on responsibility for this element
• Work in close liaison with the IS Department and DNV on system maintenance
• Ensure Stre@m Synergi system data maintained and replicated to HQ
• First point of contact for all safety-related Stre@m Synergi queries
• Proactively participate in the Stre@m Synergi Technical User Group
• Maintain Stre@m Synergi guidance documentation

• Chair and facilitate the Stre@m Synergi Internal User Group:
 Prepare and communicate the agenda
 Ensure that all parties agree on decisions taken
 Ensure that action status is reviewed and measures taken to address all outstanding issues, escalating any governance issues to the Stre@m Management Board
 Prepare and issue meeting notes and ensure follow up is completed

• Assist the Safety Advisor - Methods with facilitation of the Stre@m Management Board, with a view to take on responsibility for this element, including:
 Prepare and communicate the agenda
 Organise pre-meeting review with Head of Operational Safety
 Ensure that all parties agree on decisions taken
 Ensure that action status is reviewed and measures taken to address all outstanding issues, including overdue and rejected change requests
 Prepare and issue meeting notes and ensure follow up is completed

ISSOW Specific Activities

Facilitate the Control of Work Internal User Group
• Prepare and communicate the agenda
• Organise pre-meeting review with Lead Safety Adviser – Methods
• Ensure that action status is reviewed and measures taken to address all outstanding issues, escalating any governance issues to the Control of Work Management Committee
• Prepare and issue meeting notes and ensure follow up is completed

STRE@M Prevent (Occupational Health Risk Assessment database) Specific Activities

• Maintain up-to-date Occupational Health Risk Assessment Files (OHRAF) for the operational sites
• Input data from health surveillance activities
• Input data from additional environmental monitoring during shutdown campaigns and similar

NEMS (Noise Exposure Management System) Specific Activities

• Review system data on a regular basis to ensure up-to-date and valid
• Create and run annual reports for review by Occupational Health Advisor
• Issue approved annual report to relevant contractors to demonstrate exposure and potential health surveillance requirements for contractor personnel

AgileKM (COSHH Chemical Inventory) Specific Activities

• Review system data on a regular basis to ensure up-to-date and valid
• Create and run annual reports for review by the Occupational Health Advisor and relevant SHE Advisors
• Extract bespoke reports for site chemical management audits as/when required
OTHER REQUIREMENTS:

• Previous experience using STRE@M Synergi
• CAT 1 & 2 Synergi Administrator training preferred
• Suitable qualification within occupational health and safety preferred
• Experience with using AgileKM, STRE@M Prevent, NEMS and ISSOW preferred
• Experience of incident/accident statistics collection and analysis
• Knowledge of regulatory bodies and external organisations involved with SHE matters
• Strong prioritisation, time management and organisational skills. Good written and oral communication skills.
• Proven experience of working to tight deadlines
• Adept at working on own initiative
• Effective communication skills, approachable manner and experience of cross-departmental working
• Current and up to date BOSIET, MIST and offshore medical, or ability/willingness to obtain.
