The Company:
Our Client is an independent Australian oil and gas company playing a key role in supplying energy to our region.

They are one of the world’s leading producers of liquefied natural gas, helping meet the demands for cleaner energy from Japan, China, Korea and other countries in the Asia Pacific region.

The Role:
A position has become available for an experienced Project Secretary to assist a number of teams on a major Oil and Gas Project.

Your responsibilities will include but not be limited to:
• Provision of timely administrative support to the project Site Manager and team
• Management of calendars. Book and manage meetings efficiently and to Managers requirements.
• Organise meetings and functions, booking meeting rooms and catering as required.
• Arrange domestic and international travel bookings and accommodation as required
• New starter focal point for team, including inductions, building and computer access
• Complete monthly Spendvision reconciliation for Managers , his selected reports and Administration purchasing card
• Order stationery, PPE and merchandise for team when required.
• General office support, i.e. log Facility Centre calls, organise bulk copying, business cards and scans through Expo etc.
• Prepare reports and presentations, typing and editing correspondence.
• DRIMS focal point for the team

Essential Skills / Qualifications:
• Certificate / Diploma in Secretarial Studies / Advanced Office Skills and Administration or similar
• Minimum 4 years experience in an administration role or similar within a large organisation (preferably oil and gas)
• Excellent interpersonal and communication skills with the ability to work effectively with a multi-disciplined team.
• Strong organisational ability with capacity to work in a fast paced and changing environment driven by internal and external factors
• Intermediate competency with MS Office Suite and other office applications (DRIMS, SAP, VPOB, First Priority, IFAP, Spendvision, Corporate Express, CWT ETM travel system)
• Motivated and enthusiastic
• Ability to prioritise work in accordance with deadlines
