The Role:
• To provide Document Control Support to Projects on Site.
• Respond to Contractors and Vendors with clear advice on any document Control issues.
• Be the focal point for Document filing, retrieval and usage on the Project
• Be responsible to ensure smooth handover of documents to the Users at all phases of the Project.
• Be the Records Focal Point for Company Records Management
• Ensure Compliance with Document Control processes and procedures
• Liaise with 3rd Party Archive Storage for Records and ensure compliance with Group Records Management (GRM)


Capital Projects Document Control
• Follow project document control procedures for internal and external design and vendor documents and Project correspondence.
• Support Group Records Management compliance for controlled and not controlled documents.
• Carry out project document filing and archiving.
• Carry out hardcopy scanning, photocopying and circulation.
• Support the use of document in the Project team in a controlled, uncontrolled and informal sharing.
• Ensure accurate entry of information into the Document Control System.
• Support improvements within the Document Control scope through compliance and behaviours.
• Prepare document performance reports (status, progress and forecast).
• Provide on-boarding support for Document Control processes and tools to project team members.
• Handover documents to Operations, Maintenance, and other Users.
• Troubleshoot and work with customers to resolve Document Control queries and problems.
• Assist in the planning and testing of systems upgrade and data/document migration activities.
• Apply Information Management and knowledge sharing tools, processes and standard
• Use Electronic Document Management tools, Contract document management tool and Document Control tool to facilitate document management and handover

• Part of a small multi-cultural team supporting diverse users based in different geographic locations.
• Able to deal with and safeguard confidential information.
• Ability to work under pressure and meet service levels.
• Comply with company HSSE Policy.
• Ensure business ethics are maintained to the highest level.

Essential Skills / Qualifications:
• 5 years work experience, of which at least 3 years should be in a position related to Document Control.
• Good understanding of Document Management in Capital Projects.
• Familiarity with Document Control tools
• Experience with working in a multi-cultural team.
• Good communicator and comfortable in an English speaking environment.
• Strong analytical skills and high degree of computer literacy in Microsoft Office suite
