The Company:
Our client is an international oil & gas operator.

The Role:
TASK DIMENSIONS
- Contribute to efficient management and filing of all documentation produced necessary to sustain site activities
- Work closely within the Document Control Team
- Ensure proper and accurate maintenance and management of documentation/ deliverables paperworks and
electronic archive
- Guarantee an adequate level of safety in the access to the documentation
- Contribute to efficient management of Document Control Database (Prodom) and correspondent filing plan on
Site
- Ensure that Project Documents are correctly produced as per the Company standards and rules, internally or by
Contractors, distributed to all the relevant project team members, making sure that the last version of documents
is commonly used

ACCOUNTABILITIES
- Provide support to site activities with regards to the supervision, analysis and distribution of all relevant
documentation
- Ensure correct management of project historical/documental assets
- Provide assistance for the good filing and document management among site team

ACTIVITIES
The service will include and shall not be limited to:
- Ensure that Company procedures and instructions on the Document management are always respected on Site
- Maintain the Project Filing Plan and the Document control database always updated, in order to guarantee an
immediate access to information, when needed, by the Project team
- Maintain and archive a set of master hard copies of drawings or other documents, as required.
- Liaise with the QA/QC Manager in order to monitor the documents’ adherence to Project Quality Standards
- Provide assistance to Site team members in producing documents in electronic format
- Register and integrate contractor-produced documents
- Control the conformity of contractor-issued documents: using special tools for automatic control, commenting on
the conformity of documents, and rejecting documents when necessary
- Register transmittal sheets
- Compile commented document, prepare transmittal sheets out and submit back to contractor
- Define and launch review work-flows (maintaining a distribution matrix for this purpose)
- Follow up and expedite reviewing process
- Give support in the use of EDMS to the work package team and the QA/QC team
- Check the progress of document production by the contractor in coordination with the work package schedule
engineer
- Provide all relevant information needed for project reporting (documentation statistics, weekly dashboard,
etc.)
- Provide assistance to Site Project team in regards to the location and access to documents through the
Document Control Database (Prodom), providing training and/or trouble shooting if necessary.
- Comply with the HSE instructions, rules and procedures in force in the project.
- Satisfy the HSE assigned objectives during the execution of construction activities.
- Ensure that Company HSE Policy and contractual HSE requirements are enforced within the framework of all
site construction activities.
- Take an active part in the HSE reporting system towards Anomaly (bee safe)

Essential Skills / Qualifications:
 Bachelor’s Degree
 Archive and Document Management experience
 Excellent computer skills
 Familiar with software for Document Management; experience with Total documentation system will be a plus
 Experience in Engineering & Construction projects
 Good communication skills, very flexible, problem solving attitude
 Languages: Italian and English fluent, French appreciated
