Job Title: System Analyst
Job Location: Malaysia
Duration: 2 year contract (Extendable)
Residency: MLY

The Role:
Coordinate all activities related to the Document Control procedures, including technical documents, drawings, and commercial correspondence. This include to create, organize and maintain all related files, records, drawings and correspondence with complete suitable archiving and storage of all completed projects, electronically and hard copy. (Note: Portfolio will include Document, GeoSample and Tape Warehouse)
Uploading, registering and distributing all in-coming Mails/Documents/Drawings/Tapes/GeoSamples through the in-house Document Control Registration System and ensuring accuracy is maintained and up to date.
Receipt (including quality check) paper and electronic documents and records and review for legibility, completeness and approval in accordance with defined procedures
Scan paper documents/records into electronic format and verify electronic files against paper originals for legibility and completeness
Timely and accurate production of paper documents and drawings and the correct distribution and compliance to Standard Operating Procedures.
Communicate effectively and positively with document originators, users and project/client staff regarding document status, retrieval and any other requests as may be assigned by the department lead.
To update the Standard Operating Procedures as and when required with compliance to international Document Management standards.
To update and upgrade existing metadata standards and system to ensure search efficiency and performance are constantly upgraded for the best user experience.
Provide technical expertise and recommendations in assessing Data Management projects and initiatives to support and enhance our existing system.
Identify opportunities that can improve efficiency of business processes.
Assist in troubleshooting software application issues. Primary application responsibilities would be to provide support for Petrosys and Eclipse and secondary responsibilities would be to support Petrel and the Humpson-Russel application.
Other technical responsibilities would be to co-manage the Enterprise Storage System, Sharepoint support/Development and to provide Knowledge Management support and develop Internal Marketing initiatives to sell/gain rapport for Data Management initiatives among users.
Assist in managing an outsource relationship for application vendors.
Troubleshoot technical issues and identify modifications needed in existing applications to meet changing user requirements.
Analyze data contained in the corporate database and identify data integrity issues with existing and proposed systems and implement solutions. Verify database and data integrity.
Provide minor programming for some in-house Data Management projects.
Write technical procedures and documentation for the applications including operations, user guide, etc.
Produce technical documentation for new and existing applications.
Participate in fortnightly meetings (or as and when required) between the Data Management and IT team to discuss progress and issues to be resolved, and report progress.
Assist in the creation of the system design and functional specifications for all new development projects.
Serve as a liaison and facilitator between all business units to assist in addressing and resolving Data Management application issues.
Status monitoring of the various portfolios and well to generate the various document control reports as required.
Ensuring vendor and workflow compliance to all safety and HSE standards. Execution of safety audits will be required on a bi-annual basis.

Essential Skills / Qualifications:
• Asian nationality (Malay is prefered) Incumbent should hold a minimum Degree in Information Technology/Computer Science/Document Management with a minimum CGPA of 2.6 from a recognized university. Knowledge and exposure to the Oil and Gas business would be advantageous. And good aptitude, personality and personal drive will be valued.
•Should have a minimum of 2 years of technology and operational experience and relies on experience and judgment to plan and accomplish goals.
•Technical experience with systems networking, databases, Web development, and user support.
•Good background and understanding in Data Base design with familiarity in SQL and Relational Databases.
•Experience in the development and implementation of standards, procedures and guidelines to support operational processes.
•Self-motivated with the ability to prioritize, meet deadlines, and manage changing priorities;
•Proven ability to be flexible and work hard, both independently and in a team environment, in
