The Role:
Our leading client is currently seeking a Team Administrator to be based in Dubai working on a residential basis (5/2) on a 6 month contract, starting in May 2015.

1. Managing travel/ transport requirements, diary management, meeting requests, Team Away Days etc
2. Managing desk allocation for visitors to the Dubai office
3. All printing tasks - business cards, posters, copying, binding laminating, maps etc
4. Internal meeting room bookings for staff who have no access to the room booking system
5. External workshops and meeting rooms as and when requested for the staff in Dubai
6. Ordering lunches and beverages for meetings as required
7. Video conference set up as and when required
8. Liaising with two translation agencies (sending receiving docs) and maintaining translation tracker
9. Receiving, sorting daily mail and liaising with teams for collection/ sending courier parcels on behalf of Iraq based team
10. working with the travel & finance reconciliation teams on invoices/ receipts collections and verification of data
10. Ordering of trophies/flowers when required
11. Supporting MD’s PA and Mobilisation Coordinator when on leave
12. Sending documents and parcels to Iraq when required
13. Notifying IT when there are problems with the printer, AC etc
14. Communicate with other projects to represent at events: Safety Day
15. Assisting with secondees requiring visas and Iraqi's requiring Dubai visas
16. Assisting Iraq LT members travelling for workshops and LT meetings
17. Assisting mobility Coordinator with preparing of on boarding sessions (USBs, welcome pack, etc...), meet and greet new arrivals when mobility coordinator is on leave.
18. Sending general departmental communications when requested
19. Sending staff announcements

Essential Skills / Qualifications:
Previous experience of PA/ Admin
