The Company:
Our Client is an International Company involved in the supply of Energy globally. Their Operations cover Exploration, Production and Downstream and at present they have projects in over 30 Countries worldwide.In Australia they are involved in one of the Country's largest LNG Projects, including both Gas and Condensate which is currently in Construction Stage.

The Role:
An opportunity has arisen for a Darwin Based Team Assistant to join a leading Oil and Gas Operator for a minimum 12 month contract. Our client is seeking an experienced site based team assistant to assist our busy team, reporting to the lead administrator.

Responsibilities include but may not be limited to:

•Provide administrative support to the Area Manager(s) including but not limited to preparation of reports, PowerPoint presentations and meeting minutes / agendas.
•Provide organizational support to the Area Manager(s) including but not limited to diary / calendar management, screening of telephone calls and booking of meetings.
•Maintain and update the Area Manager(s) and project/package personnel electronic and manual correspondence logs, relevant to their package
•Assist in the booking of travel arrangements for the Area Manager(s) and project/package personnel including business, rotational and home leave travel.
•Reconcile travel and associated expenses utilizing SAP for the Area Manager(s) and project/package personnel
•Communicate out of office and delegations of authority for the Area Manager(s) and project/package personnel in timely and appropriate manner.
•Maintain an up to date roster for the Area(s) Manager and relevant package/ project personnel, including details relating to R&R, Annual Leave, Training Days and Business Trips
•Maintain and update project personnel files including hard copy and soft copy filing and the timely update of relevant databases.
•Coordinate the induction of new project personnel including mobilization through Enable, booking and coordinating relevant inductions and travel requirements, ordering and delivery of PPE
•Book and organize training for project personnel through the LMS system
•Assist in the maintenance and control of the project documentation using the PIMS Document Control System
•Assist with the binding, scanning, filing and printing of documents for relevant package/project personnel
•Screen, monitor and direct phone calls to the Main Company Office
•Receive, sort and allocate deliveries to the Main Company Office
•Reconcile Main Company Office petty cash, as required
•Maintain presentable upkeep of the Main Company Office meeting room and reception area including the update of the meeting room booking sheet and sign in sign out sheets, on a daily basis.
•Maintain the stock and upkeep of the Main Company Office supplies such as stationary and printer toner
•Assist with catering requirements for on-site visitors
•Assist with the setup of organization of meeting rooms for project wide events

Essential Skills / Qualifications:
•Advanced Microsoft Office skills.
•Strong team working skills.
•Excellent verbal and written communication skills.
•Highly organised, self-motivated results orientated person.
