The Role:
Role synopsis

The PA/Team Assistant is accountable for providing PA support to the North Sea Developments Manager and the wider Procurement & Supply Chain Leadership Team on day to day administration with regard to business activity needs, people, performance and safety. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be organised, flexible and enjoy the administrative challenges of supporting a team of diverse people in various offices and global locations. The successful candidate will be required to be resourceful, flexible and efficient as they work with a high level of professionalism and confidentiality.

Key accountabilities


• Ensure personal safety is observed at all times and all work is performed within the framework of the org's Code of Conduct, Compliance & Ethics and HSSE Policies.
• Provide high quality PA/Secretarial and administrative support in handling commercial and staff information in a secure and confidential manner
• Manage diary and provide E mail and E - expenses support for GPO PSCM Developments Manager and other Leadership Team Members by arrangement
• Manage multiple interactions at all organisation levels, both internally and externally
• Communicate and coordinate PSCM Developments Manager’s instructions and requirements
• Manage/maintain all people information (Organisations Charts, updates to PSPC etc.)
• Support the PSCM Leadership Team’s meeting and manages Action Tracker
• Provide administrative support to GPO PSCM Team members including assistance with preparation of presentations, handouts, graphics as required
• Make domestic and international travel arrangements, provides complete and accurate itineraries, and confirms associated logistics
• Organise internal and external meetings and events, including rooms and venues
• Meet and greet external visitors
• Maximo input for purchase orders for stationery, services , meetings and events
• Compile and distribute team reports as required
• Administrator rights to the PSCM Team document management system

Essential Skills / Qualifications:
Good oral and written communication skills.
• Ability to handle highly confidential information in an appropriate manner
• Strong organisational skills with attention to detail
• Good team player who is self-motivated and able to work independently
• Proficient in software packages especially Excel, Powerpoint and Word
