The Company:
Our Client Business is the exploration, production, refining, trading and distribution of energy.

The Role:
Act as a focal point for communication into COMPANY Onshore Engineering Team . Work under minimal or no direct supervision.

Responsibilities include, but not limited to:-
• Plan, organise and prioritise workload on a daily basis in order to meet deadlines and plan ahead for upcoming or cyclical deadlines.
• Manage and optimise Microsoft Based Schedule on behalf of Managers. Access and prepare any materials in relation to upcoming appointments, meetings, conferences or external visits well in advance of the event, wherever possible.
• Access and read all Manager’s emails when out of office highlighting any matters that require urgent action to the delegated authority.
• Organise meetings/ events on behalf of Managers and Team. Responsible for the planning and organisation of meetings both internal and external, as required (venue/ room, issuing Agenda, inviting attendees and monitoring responses). Attend meetings (as required), take minutes and produce action tracking spreadsheet which records actions of the meeting.
• Prepare and edit various documents in Word; prepare and edit presentation slides (PowerPoint); prepare and edit spreadsheets in Excel. In advanced Level.
• Assist with any ad-hoc requirements for COMPANY Onshore Engineering Team, travel, expenses, meeting requests, conference calls, and update presentations using Microsoft Office.
• General Adhoc tasks as requested – document formatting, printing, postal errands, collecting visitors from reception, etc.
• When required, provide holiday cover for other team assistants.
• Ordering of all stationery for the project.
• Upkeep of project email distribution lists.
