The Role:
Only Azerbaijani citizens are needed


• Maintaining the Team's records and files
• Organizing internal and external meetings, conferences and teleconferences, Workshops, Town Halls and Away Days
• Coordinating business travel.
• Within MS Outlook work with Discipline and Area engineering teams managers to manage diary appointments
• Raising service/purchase orders in Maximo for supplies, PPE, booking external meeting facilities, etc.
• Distributing incoming/outgoing mail
• Coordinate office moves/space utilization
• Coordinate transportation, met and greet, hotel, arrangements for employees, contractor or visitors upon request.
• Coordinating and organizing office equipment arrangements, computers, phones, etc. at all times
• Coordinating and ensure all IT equipment is functioning properly (printers, phones, faxes, etc.).
• Coordinating and updating the Team's training schedules, if required
• Preparing or supporting presentation material preparation, when required
• Maintaining and updating the Team's calendars’s, contacts, distribution lists etc
• Coordinating and submitting HSE Inputs Reports for the teams every month
• Coordinate admin support for new employees (i.e. organizing desk, IT equipments, Stationary and etc.)
• Support business meetings, taking and distributing minutes when requested.
• Coordinate weekly or other regular reports for the for TL’s/Managers.
• Coordinate Team translation requirements and translate specific documents, sending faxes and mails

Essential Skills / Qualifications:
• Fluency in English, strong computer skills – particular experience and competency in use of MS Outlook , Word and Powerpoint. Excel skills an advantage.
• Minimum 2 years of strong admin experience
• Demonstrated ability to work under own initiative and seek continuous improvement
