The Company:
Leading Oil & Gas operator in Angola

The Role:
**This position is for ANGOLAN NATIONALS ONLY. Please do not apply if you are not an Angolan National **

The Team Assistant will be responsible to provide efficient administration support to a particular team.

•Organizing and attending team meetings.
•Preparing and maintaining a list of contacts for the team
•Preparing and maintaining team movement chart and team diary of events
• Supporting new starters to the team
• Coordinating invoice payments for the team
• Establishing and maintaining a filing system for the team
• Requisitioning office supplies and raising requisitions in Maximo as required
• Scheduling of internal and external meetings and appointments
• Organizing travel arrangements for team members in Angola and overseas
• Providing specific support (emails, diary, expenses, telephone calls etc.)
• Liaising with other departments and coordinating requests for information to/from other departments in Luanda and in Sunbury
• General support of the team in day-to-day activities
• Arranging access for visitors to the department, meeting and escorting visitors
• Supporting and making necessary arrangements for visitors
• Supporting external events(Conferences, Exhibitions, Away Days, Town Hall, Meetings (Hotels, Restaurants, Guest Houses, Meeting Venues etc)
• Coordinate travel and accommodation, temporary/permanent and local/international requirements for the teams with Property Services, HR Department and others;;
• Assist team members with the coordination of visa, work permit and other government agency requirements
• Liaise with and maintain communications with HR and other Departments on matters relating to the office services, work stations, IT/communications support, accommodation and administration for the team
• Provide secretarial services, such as correspondence, stationary, photocopying, scanning, printing, filing and document control, for the teams
• In conjunction with the Office Coordinator monitor supplies (i.e. stationary, printer cartridges) and order new goods to ensure adequate supplies are available to the team and maintain an inventory of BP provided equipment to the teams;
• Meet and escort visitors to the department as directed, projecting a good company image and making visitors feel welcome;
• “Team Care” – supplier interactions, identifying/ordering gifts, and always maintaining cost-consciousness of efforts;

Essential Skills / Qualifications:
Essential criteria
• 12th grade as the minimum education level
• A great team player with a great attitude who has relentless drive and determination to deliver outstanding results to their customers.
• Well organized, ambitious, courageous, and ability to communicate effectively (written and verbal) and influence others.
• Verbal and written communication skills.
• Fluency in English and Portuguese.
• User knowledge of following MS Office applications: Excel, Word, Power Point, Outlook.

• Administration qualification or equivalent
• Experience in working for multinational companies
