The Role:
• Diary management, including the checking and coordinating of schedules across the Resource Leadership team.
• Prepare travel itineraries and agendas booking of flights, hotels, transport and prepare visa applications (where applicable)
• Sourcing and setting up venue’s for events, collating numbers, organising IT support, completing contacts and liaising with the venue to ensure the event is run effectively.
• Managing and maintaining key files for the Unit Managers including updating timewriting.
• Collating expense receipts and preparing monthly submission of E-Expenses ensuring accuracy and deadlines met.
• Coordinating the management of approvals and authorisations e.g. E-Expenses, recognition awards, purchase orders invoices and generating UFA’s etc.
• Management, preparation and production of correspondence, including scanning and circulation of incoming mail, typing of various documents and archiving and retrieving key documents as and when requested.
• General office admin: log IT requests and faults, source and book meeting rooms, order stationery, meet guests, ad hoc duties.
• Holiday cover for other Team Assistants as required.

• Knowledge of following MS Office applications: Excel, Word, Powerpoint, and Outlook.
• Full range of administrative skills, including organisation, prioritising, forward planning and general administration.
• Proactive and organised with a strong ability to forward plan and anticipate requirements.
• Strong verbal and written communication skills.
• Highly flexible and adaptable, with strong inter-personal skills.
• Supportive team working and networking skills
• Ability to work with others in a team, sharing responsibility for quality and delivery with colleagues
• IT skills required
