The Role:
Main Purpose of the Role
- To support Line Manager in daily activities & ensure office activities are in line with Company & departmental objectives & timing.
- Preparation of routine documentation relevant to department, ie letters, memos.
- Processing, issuing and distribution of information/documentation (eg agendas, minutes,KPI's).
- Reading, assessing and handling (where relevant) of all correspondence.
- Maintenance of accurate, comprehensive and accessible filing systems.
Scope of the Role
- Assist in daily function and running of department.
- Manage diary and arrange/co-ordinate meetings.
- Handle routine matters (verbal & written) independently.
- Draft letters/memos/documents for signature & ensure timely distribution.
- Arrange national and international travel.
- Read, route, prioritise incoming mail/telephone calls.
- Read, prioritise and where relevant, handle all correspondence.
- Ensure timely availability of documentation needed for meetings, presentations.
- Establish and maintain an accurate, comprehensive and accessible filing system.
- Act as receptionist – Meet & Greet.
- Arrange entertaining on request.
Qualifications & Experience
- O ‘Level / GCSE equivalent in English.
- PC literate, good communication skills, be proven self-starter and work independently.
- Communicate effectively at all levels.
- Knowledge of Microsoft Office would be advantageous.
