The Company:
Is a leading Automotive manufacturer with a reputation for outstanding quality the world over. With demand increasing and an upturn in production, there is a need to bring further skills into the business to deliver on current and future projects.

The Role:
The role is based in a department that is a wholly owned subsidiary of the client which engineers, manufactures and delivers products to meet bespoke customer needs of customisation and personalisation.

Lead and manage all aspects of personal and team administration, assist with capacity planning and the organisation structure for the department. Working closely with First Line Manager and liaising with all levels of the department and relevant areas of the wider business.


MAIN RESPONSIBILITIES

Office Co-Ordination
a. Responsible for providing organisation support such as arranging meetings, organising events/travel, managing diaries, mailbox and workflow based systems.
b. Coordinate and support all senior management strategy and review events. Act as point of contact and assist with decisions for the office when Manager off-site.
c. Manage SAP timesheets for department, including time-analysis, holiday tracker, return to work, new employee induction and HR liaison for the whole department.
d. Make decisions on routine matters to support team/department.
e. Responsibility for the provision of office infrastructure supporting operations, including post, equipment and stationery.
f. Coordination of whole department communications.
g. Ensure confidentiality of personnel, corporate product and project matters.
h. Raise orders and manage process of new equipment for new starters.
I. Raise Capital Expenditure orders through Workflow.

Develop and Maintain
a. Prepare and ensure accurate and timely generation and distribution of departmental information.
b. Produce presentations/reporting and provide administrative support to ensure task coordination and consistency.
c. Departmental personnel training and developmental activities.
d. Vehicle usage plans for department operations, including vehicle bookings, Vehicle Pass Outs, maintenance and external company loan agreements.
e. Prepare Job Profiles and assist in all areas of department recruitment including liaison with Company approved recruitment companies.

Planning and Analysis
a. Assist with departmental planning/budget management forecasting.
b. Screen and challenge travel cost options (or similar) on behalf of department/manager.
c. Engagement of any stakeholders supporting delivery to plan/project requirements.
d. Assist with identifying any issues or risks affecting daily operation/budget of department and recommend remedial action.

Project Work/Continuous Improvement Activity
a. Support the departmental Engagement Champion with events, activities and monitoring actions.
b. Support site strategy with layouts, presentations and liaison with Site Planning/Security and external contractors.


BUDGETS

Assist finance team with any monitoring/coordinating department budget tracking.
Monitor department cost centre and capital budget.



SKILLS & EXPERIENCE

• Demonstrable experience of strong communication and influencing skills
• Ability to deal with information and data of confidential &/ secure nature
• Self-starter with ability to prioritise workload and work independently as well as part of a team
• Proven organisational capability
• Working knowledge of SAP desirable

QUALIFICATIONS

• GCSE or Equivalent in English Literature/Language and Mathematics
• Competent at intermediate/advanced level in Microsoft Outlook/Word/Excel/Powerpoint.
• SAP Experience advantageous
• German language knowledge/qualification advantageous
