The Company:
Our Client Business is the exploration, production, refining, trading and distribution of energy.

The Role:
• Plan, organise and prioritise workload on a daily basis in order to meet deadlines and plan ahead for upcoming or cyclical deadlines.
• Assist team with document formatting/pictures/formulas in Excel, Powerpoint presentations
• Update Organisation Charts, project Roles & Responsibilities
• Manage and optimise various managers diaries . Access and prepare any materials in relation to upcoming appointments, meetings, conferences or external visits. I.e. gather and prepare documents/drawing/info packs for meetings from sharepoint/documentum.
• Admin support for Risk Management, Action Tracking and Lessons Learnt tools
• Provide Assurance Admin support for Document Management Systems ( Documentum, iHub)
• Access and read emails, highlighting any matters that require urgent action.
• Organise meetings, events on behalf of team. Logistical responsibility for meetings (venue/room, issuing agendas, inviting attendees and monitoring responses).
• Travel arrangements including hotels, meet and greet, flights & visas. Prepare detailed Itineraries for each trip.
• Organised forms – travel, personnel, PAAF’s etc, expenses/timesheets
• Creation/maintenance of action lists/letters/spreadsheets/PowerPoint slides
• Put together info packs for meetings/training courses: agendas, paperwork to go with meeting/training
• Updating phone lists/seating charts/holiday charts for teams
