Job Title: Temp HR Assistant - URGENT

The Company:
Our Client is one of the world's largest Oil and Gas companies. Their operations cover the entire energy chain, including oil exploration and production to trading, shipping and refining and marketing of petroleum products, as well as chemicals. Our Client has operations in over 130 countries and has more than 95,000 employees worldwide.

The Role:
• Work with the HR Adviser (project specific) to provide a flexible and proactive HR Service and to enhance the reputation of the HR team with client groups at all times
• Provide guidance to line managers and staff in all first-line aspects of HR Policy and procedures within established guidelines
• Complete and process TRR process for new starts and extensions.
• Update and maintain appropriate departmental and Company wide database information relating to project
• Define and produce non-standard reports from database/spreadsheets
• Develop contacts with project team to ensure high quality of service and co-operation
• Maintain project Manpower database as well as project Organigram
• Support the HR Adviser (project specific) in sourcing staff (permanent and contract) from established agencies, ensuring cost-effectiveness and highest ethical standard are applied throughout, including activities such as sourcing CVs, planning interviews, requesting references etc.
• Ensuring regular contact with agents with updates on CV’s submitted.
• Ensure all administration for visa applications, correspondence etc. is completed and recorded effectively
• Respond in writing to speculative applications, ensuring that a positive image of the Company is maintained at all times. Document and file details of best candidates, removing those over 2 years old
• Conduct inductions for new employees, ensuring that all new-start and probationary information is correctly completed, and that the Code of Conduct has been read and signed as well as prepare all new start documentation, Travel forms and RFIS.
• Process leaver data, ensuring all necessary arrangements are made
• Assist with the appraisal and salary/allowance review processes as directed, producing spreadsheets, reports and award letters as required
• Maintain job description files, ensuring accurate and up to date information is held at all times
• Update weekly HR report – Update and highlight any changes
• Monthly Manpower status look ahead
• Attending Recruitment Events

Essential Skills / Qualifications:
• Preferably educated to HND level or equivalent, with experience in an office environment (preferably in an HR department)
• Strong numerical and analytical skills with methodical approach and attention to detail
• Knowledge of an HR information system would be an advantage
• Knowledge of and experience of working with PC applications such as Microsoft Word, Excel, FrontPage, PowerPoint
• Ability to handle large quantities of confidential data in a logical manner, to set priorities and balance different work requests
• Ability to build and maintain relationships with both internal and external contacts
• Proven record in Agency Contract Administration an advantage
