The Role:
Learning Management System

Responsible for updating, reviewing & auditing the LMS which is used to maintain training records for all onshore and offshore personnel as well as some core crew contractors where mandatory regulations dictate as duty holders.

Works with the LMS Central teams to ensure that new courses etc. are added to the system accurately and in a timely manner.

Provides support and guidance to course owners, supervisors, employees and contractors on an ongoing basis, providing training in the system where required.

Responsible for ensuring that expiry reports are done in a timely manner and that employees are informed of course expiries, paying particular attention to any courses on the Authorised Persons List for each installation. Prepares reports for Training & Competence Adviser, Competence Consultants and customers on an as and when required basis.

Training

Act as a specific focal point for all general offshore and safety critical training requests. Also responsible for all onshore requests. Responsible for the booking, sourcing and co-ordination of all internal and external training courses on behalf of employees, this includes handling of all correspondence relating to an event ensuring that appropriate numbers have registered as well as ensuring that all training logistics are organized such as venue, catering and accommodation and liaising with course provider as required.

Responsible for producing class listings for the trainers, checking if they have any specific requirements and following up with trainees in the distribution and recording of course evaluations.

Responsible for assigning all CBT's via Training Portals and reviewing completions status to ensure that individuals assigned CBT's complete the training within the specific time allotted.

Emergency Response Training

Co-ordinate the ER training for specific Assets. Liaise with offshore focal points and leadership to arrange bookings based on ER roles and rotas to ensure that the whole ER team for an installation attends the training as one team. Co-ordinate bookings and accommodation with vendors and ensure that all joining instructions are issued in a timely manner and accurate.

Training Records

Ensure that all training records are kept up to date and maintained in all filing systems, Paper copies, O/Drive, LMS and Vantage in line with data privacy legislation and Company policy. Ensure that all safety critical training that is carried out is recorded and maintained in line with HSE requirements and industry regulations and is auditable.

Process ISSOW authorisations for offshore and administer the online Authorized Persons Lists.

Clear out and archive expired certifications and dispose of appropriately on an annual basis.

SAP, ARIBA & Vendor Management

Acts as Requisition Specialist for the HR Department this involves raising purchase orders in SAP and Ariba for the payment of including training courses, venues, seminars and conferences. Responsible for all compliance checks related to the HR team cost centre in SAP to ensure submitted invoices are in accordance with approved contracts/vendors.

Manage relationships with vendors and contractors on an ongoing basis ensuring that they are following the appropriate Company processes and are providing cost efficient service. Where required offer feedback to vendors or contractors and raise any issues with Training and Competence Adviser.

Work with Supply Chain Management to assess vendors based on the First Point Assessment Limited (FPAL) criteria. Attend FPAL meetings for training vendors and offer feedback on performance and recommendations for improvements.

SharePoint

Regularly reviews & updates the training and competence areas of the SharePoint site, specifically the Training and Competence Hub which contains all Company offshore matrix mandatory requirements and the Authorised Persons Lists

Create and distribute information on Company training activities via the SharePoint site and the Training and Competence quarterly Newsletter.
Educational Assistance

Manages Company Educational Assistance programme in line with the UK policy. Co-ordinate the approvals process and liaises with course providers and employees to ensure attendance and completion of courses. Provides details of costs and charges to the appropriate cost centres and arranges payment where appropriate. Liaises with Supervisors / Managers where necessary to provide updates and recover monies in the event of non-completions.

General Administration

Provides administrative support to Training & Competence team members where appropriate.
