The Company:
Our client is a major Owner/Operator in Canada with headquarters in Calgary, AB. They are one of Canada’s largest producers of Crude Oil and Natural Gas as well as Canada’s largest refiner. Most of their Canadian projects are located in Northern Alberta’s Oil Sands.

The Role:
As Transfer Coordinator (TC) will assist the PIMC in providing Client’s Contractors with information management and document transfer guidance and support by detailing the requirements, processes and workflows on the project to ensure the delivery of documentation seamlessly to Operations.

The Transfer Coordinator will understand the Documentation for Operations requirements and be responsible for communicating these to Client’s Contractors via weekly/monthly meetings and will track Client Contractors turnover progress and provide monthly/weekly updates to the Project PIMC.

Tasks and Responsibilities:

• Act as point of contact for all Client's Contractors regarding turnover requirements and be accountable for IM Rollouts with Contractors to review IM contract requirements, apply IM and DFO Specifications specific to Contractor SOW.

• Work with all Client's Contractors at all locations providing turnover support and guidance to ensure documentation delivered meets Company requirements.

• Provide PIMC with quarterly IM Health checks on each Contractor and Prepare and present detailed status reports on documentation from Contractors and provide status on progressive turnover.

• Regularly interact with Client's contractors (monthly/weekly basis) to ensure documentation delivered meets Company requirements and that all contractual requirements are being met for the delivery and approval of contractor’s documentation.

• Work with PIMC and Document Control Leads in overseeing turnover and handover processes and workflows for all project documentation including project closeout and delivery to Operations.

• Draft Document Control rollout schedule and presentation for all project contractors and Client's project team for PIMC review.

• Manage and steward Turnover Schedule for each project Contractor and raise any potential issues to PIMC.

• Assist the PIMC with generating project Turnover Schedules for each project Contractor and provide to Project Document Control Lead to manage.

• Produce Final Turnover Schedule for each Contractor (based on MDR) and work with Project Document Control Leads to identify Early Deliverables (ED), Final Deliverables (FD), Hard Copy (HC) and Systems Completion (SC) categories on Contractor MDR’s.

• Assist the PIMC with creating project specific plans, procedures, templates and registers from WCMP templates including early project Information Management Plan (IMP), IMP for each project stage, project document numbering specification, IM specification and Transition Plan and ensure that relevant supporting work instructions and procedures are developed.

• Assist the PIMC with generating project workflows for all project documentation; documentation from all Client's contractors, Client's internal reviews, IFC workflow, mark up workflow, as built workflow, transition to Operations and turnover workflow which includes developing forms and processes.

• Responsible for project closeout activities. Evaluate and develop the project’s archival procedures, and coordinate project IM handover activities, ensuring project readiness to deliver required data and documents in the manner specified by project requirements from LAN and EDMS.

• Review and provide comments on Contractors IMP, DFO Plan, MDR, SMDR.

• Engage and raise potential issues to PIMC as required.

• Travel as required and other duties as required.
